What Happens When an Item is Ordered?
When an item is selected for purchase by a librarian from the Collection Management Department, the information about the item is sent to the Libraries' Acquisitions Department. When the order is placed with a distributor or publisher, an item record is entered into the Libraries' online catalog, with a note stating "no holdings" and/or "on order." When the item is received at the Libraries, the Acquisitions Department staff checks the item against its records and sends it to the Cataloging Department and Marking Unit for further processing. At this point, the item record in the online catalog is updated to reflect "Received: In Process" status. Once the item is cataloged and marked, the item is sent to Access Services. If a patron has requested "notification upon receipt" at the time of ordering, they are contacted and the item is held at the Access Services desk. If an item is not being held for a patron, Access Services will display the item on the New Book shelves for one week before shelving it in its permanent holdings location. At this time, the item record in the online catalog reflects the item's call number, permanent holdings location, and availability status. The process normally takes six to eight weeks or more, depending on availability of the item from the publisher or distributor.
Books for Reserve
Books requested for purchase that will be placed on reserve for a course must include the course number, semester, and year for which the book is to be placed on reserve. Reserve requests should be placed at least 90 days in advance of the time needed. To place items already in the collections on reserve, please contact the Reserve Room.
Out of Print Materials
Materials published more than a year ago may be out of print. It may be possible find a copy on the out-of-print market, but it is often a lengthy process, taking months or years, and it depends on availability of the item. If there is an immediate need for the item, request that Interlibrary and Document Delivery Services borrow a copy from another library.
Journal Subscriptions
Requests for new journal subscriptions will be considered when funds are available. New subscriptions represent an indefinitely continuing budget commitment, and are carefully and selectively considered after consultation with campus departments. The Collection Mangement Department normally does this consultation as part of an annual review of the Libraries' serials subscriptions. Please include information indicating the courses, research programs, departments, and faculty members that would benefit from having local access to the journal with each request.
Media, Electronic and Other Formats
Requests for materials in all formats should be sent to the Collection Management Department. Please include as much ordering information as possible when requesting audiovisual, multimedia, or electronic materials. For electronic materials, information about format, desired platform, and other technical considerations are especially important. Request will be reviewed by these technical and accessibility considerations as well as the regular criteria used for print materials. Electronic items that represent continuing budget commitments will be evaluated for purchase selectively, after a review process, consultation with departments, and consideration of technical and licensing concerns.
