Descriptive cataloging for special collections materials

All Special Collections Research Center materials will be cataloged in accordance with Anglo-American Cataloging Rules, 2nd ed. Revised (AACR2r). Records will reflect full cataloging level standards as outlined in AACR2r with additional descriptive and access points that distinguish its inclusion in Special Collections. Some materials require additional enhancements provided through Descriptive Cataloging of are Books. See DCRB Materials Cataloging for details.

When to create a new record

Create a new record where none exists currently in Unicorn or when the title transcription, edition, presentation area, pagination, etc. (MARC 245-300) would differ in any way other than for printing.

Specific fields of interest

090 Always add date to the call number. If a new class number is being assigned record the old class number in the Comments section of the Unicorn holdings record:

590 All copy specific notes for NCSU materials will be put in a 590.

  • The 590 will begin with: "Special Collections copy:"
  • Ephemera (i.e. price list at back, letters, loose advertisements, etc.) should be placed in acid free paper and laid in front of the book with a note saying "... laid in front."
  • Notes for tailpieces and headpieces will be decided on a case by case basis by the Special Collections Research Center.
  • Note when a book has been inscribed.
  • When inscribed by the author:

    Special collections copy: Inscribed by author.
    Special collections copy: Inscribed by author. "To my dear colleague in America of in Chinese geology, with loyal greet-ings from the Yanqui, Baily Willis."

    When inscribed by any other person:

    Special collections copy: Copy inscribed on front fly-leaf "T. H. Regan".

  • Note when a book has illustrated wrappers or is in its original dust jacket.

  • Special collections copy: Illustrated wrappers.
    Special collections copy: Includes dust jacket.

  • Note when a book has annotations.

  • Special collections copy: Contains annotations.

  • Note when the book has a non-NCSU bookplate.

  • Bookplate on front pastedown of each volume "Bowen's extensive & increasing circulating library on the Steine, Brighthelmstone".

  • Note when a book has had conservation treatment. An acid-free slip should be inserted in the front covering detailing the conservation treatment done to an item. When this slip is there, simply record that the item has had conservation treatment and what work was done.

  • Special collections copy: Conservation included deacidification and repair to binding.

  • Other copy specific information:

  • Special collections copy: Bookplated pasted down on flyleaf "Ex libris the Bill McCrackens".

655 Genre headings should be included for these physical characteristics. Thesauri for these access points are available and should be used. See Form/genre thesauri on the Reference Sources page. These thesauri are available on Cataloger's Desktop as well as located in hard copy at the Cataloger's workstation. The format for these added entries is:
