Removal of nonessential accompanying media from print materials
Both print monographs and serials are sometimes published with CD-ROMs, floppy disks or other
media attached. If Acquisitions Department staff determine that such media contain only
advertisements, demos or other nonessential information, they will remove them when the item is
checked in. If necessary, staff will consult Collection Management to determine whether to retain
such media. Collection Management will consult other departments, e.g., Research and Information
Services, branches, as necessary. If disks are to be retained, follow procedures for monographs
or serials accompanied by non-print materials. If disks are to be discarded, use the following
procedure:
- Acquisitions staff will remove media and make a note in the check-in records that future
nonessential media are to be discarded also. The note should indicate the name (title) of
the item discarded.
- If necessary, Acquisitions staff will consult with Preservation to determine the best way
to remove all traces of the media and any pocket, etc. If all traces cannot be removed, a
stamp will be used on the volume or issue to indicate that the lack of accompanying material
is deliberate: "Accompanying media discarded (promotional material)."
- If the material arrives in Database Management or at its final destination before anyone
notices the offending accompanying media, whomever notices will take the volume to Acquisitions
to have the item removed.
