Work distribution
Pull materials from the Current Receipts area following the "first-in-first-out (FIFO)" system unless otherwise specified by your Section Head.
Materials in this area include, but are not limited to, the following categories:
- current monograph receipts, in all formats, subject areas and languages
- "cat sep" analyzable monographic series titles
- gifts and exchange titles
- new NC doc print and microform monographs
- some items from the targeted collections
As a general rule, please do not pull more than one week's cataloging workload at any given time.
Contributed (member copy) cataloging
This currently includes OCLC member records; records from the British Library (UKM), National Library of Canada (NLC/CaOONL), and other national libraries (NAL, NLM); and some copy from Z39.50 sources other than LC. This should be processed as follows:
- verify that the bibliographic record in Unicorn matches the item in hand
- Note: For titles with no record in the system search OCLC for "usable" records. In choosing among
multiple records describing the same title, we generally prefer those with LC call numbers and subject headings over those lacking either
or both; we prefer "set" records over "separate" records (but make sure you cover any distinctive separate titles with a 505/740 combination)
if there is no special request from Collection Management for preferential treatment. When in doubt, consult the Section Head.
- Consider the work and the bibliographic record to match when the only variation is in one or more of the following (cf. LCRI 1.0 for
details):
- ISBN (e.g. the presence, absence, or change of an ISBN)
- Binding (e.g., paperback vs. hardbound) or paper type (e.g., acid-free) when there is no specific "edition statement" associated
with this change
- Place of publication, where the publisher remains constant
- Minor variations in a publisher's name when multiple forms are used concurrently (e.g. "Macmillan" vs "M")
- Date of printing -- if in the cataloger's judgment, the date recorded in 260|c of the cataloging record merely represents a
"printing" or "reprinting" date, rather than the publication date of a different edition, accept the copy and edit it to match the
work in hand (Exception: the record for a disparate printing represents a copy from Special Collections). Add the printing/reprinting
date as an extended public note (e.g., "Reprinted 1995 with minor corrections"), if deemed necessary.
- Minor variations or obvious typographical error (e.g. transposing of two numeric digits) in pagination
- Verify and edit, if judged necessary, the bibliographic record to ensure that the following descriptive information is
accurately transcribed and coded:
- title and statement of responsibility area (245, 246s)
- edition statement (250)
- publication, distribution, etc. area (260)
- physical description area (300)
- series (4xx)
- notes (5xx)
- Verify and edit, if judged necessary, name and title headings so that standard
access points are accurately provided and coded (cf. Authority
Procedures)
- If the cataloging record lacks LC subject headings (i.e. 600/610/630/650/651
with 2nd indicator value of "0") and is not a literary work, research and add these and then place the
item on EPA review/completion shelf; otherwise, move on to next step
- Verify and modify, if judged necessary, the call number so that the item
fits logically into the NCSU Libraries' collection; if the cataloging record
lacks an LC call number, research and add one based on existing subject headings
- Barcode physical item, if appropriate
- Complete item record
- Record statistics following Cataloging statistics guidelines
Original cataloging
Create a new record using a model record OR a template:
- Verify and edit bibliographic description so that the record matches item in hand
- Verify and edit, if judged necessary, name and title headings so that standard
access points are accurately provided and coded (cf. authority procedures)
- Verify and modify, if judged appropriate, subject headings to ensure that they are valid and reasonable
- Verify and modify, if judged appropriate, the call number so that the item fits logically into the NCSU Libraries' collection
- Barcode physical item, if appropriate
- Complete item record
- Record statistics following Cataloging statistics guidelines
Create a new record in OCLC Connexion
- Fill out all descriptive fields, with corresponding fixed fields and 0XX fields, accurately, following national
standards and practices such as AACR2 and MARC
- Provide adequate name and title headings for access points, following departmental guidelines (cf. authority
procedures)
- Place item on EPA completion/review shelf for subject analysis and classification
- Complete bibliographic record after EPA completion/review
- Barcode physical item, if appropriate
- Complete item record
- Record statistics following Cataloging statistics guidelines
