Changing title links on orders: Basic titles

  1. To update the order, begin in Cataloging module.
  2. Verify that the order you want to move is Firm or Approval.
  3. Order linkages between order and bib record occur at the volume/call no. level. Before you can link an order record to a new bib record, there must be an appropriate call no./volume record on the new record. If needed, create a new call no./vol. record.
  4. Obtain the call number or item record being used to identify the precise bibliographic record that should be linked to the title (the "good" or target record).
  5. Using the Maintain Existing Titles wizard, bring up the "bad" or source record from which you need to move the link.
  6. In the Modify Title window, if there is more than one volume on this source record select the All Volumes tab and move the cursor to the correct volume/copy so that the Item ID of the item is blue.
  7. Leave this window present so that the "current title" button can be used accurately in the next window.
  8. Select the Acq toolbar.
  9. Click on the Order Information and Maintenance wizard.
  10. Click on the Modify an Order button.
  11. Click OK to confirm modify order default properties.
  12. Select Current Title to retrieve the Title/Item ID presently in the Workflows clipboard.
  13. Click on Modify Orderline. If a "Fund Segments not balanced" note comes on the screen, it is OK to click the Continue button.
  14. Click on the Segments tab and check that the Date Received and Loaded fields have a valid date.
    1. When the date in the Date Received field is NEVER - DO NOT PROCEED! There is an error on the order; the incorrect title was processed. Return this item to Acquisitions for processing.
    2. When the date in the Date Received field is valid and the Load field is NEVER, change the value to TODAY. You can process this item.
    3. When the date in both the Date Received and Loaded fields are valid, then you can proceed to change the title link for this item.
  15. Click on Title Info tab.
  16. Click on Modify Catalog Link Helper (pencil by a blue chain) button on the Modify Order toolbar. This button only appears on the Title Info tab.
  17. Type the call number of the correct bibliographic record and click OK. The new title should appear on the Modify Title window by the label title.
    1. When the call number is used by more than bibliographic record, then edit the record on the bad bibliographic record to make the call number unique for title linking purposes.
    2. Remove |b delimiters from the call number when it is pasted from the bibliographic record in the cataloging module.
  18. Click OK to save changes to orderline. If a Fund Segments not balanced note comes on the screen, it is OK to click the Continue button.
  19. Click Finish to exit order. When Modify order dialog box comes up with the question, "is order ready?" just click cancel.
  20. Click Save to save changes to the order.
