UAPC People Photograph Collection metadata creation guideThe People Photograph Collection includes about 1500 photographs of faculty, staff, administrators, librarians, and others connected with the University over the past 100 years. These are part of the larger University Archives Photograph Collection (UAPC), UA 023.24, which is being processed by staff in the Special Collections Research Center. Note that not all photographs in this collection are being processed at this time, but rather a selection of photographs which are identified by attached labels showing the filename. As SCRC has already created base records for this collection, you will need to begin by calling up the appropriate record first. Use the [FIND] button at the upper right corner of the metadata entry template, searching by the 7 digit number printed on the photo enclosure. Do not type the record number in the [File Name] box, as this will edit the record displayed rather than launch a search. If you accidently type your photo number there, try CTRL z or Esc to change the data back to the original value. Descriptive metadataFileName: These have been pre-assigned by SCRC and correspond to the seven digit number you used to locate the record. No need to edit. Title: These have all been pre-populated with "UA023.024 People photos", which you may remove. Use the information from the back of the photograph as the title. This will usually be a person's name, but could also include other information. Use "Transcribed from verso." under "Title source") Date: This should be the date or range of dates of the photograph itself, not of the subject's tenure at NCSU. Sometimes a date will be provided on the verso, but at other times you have to guess, based on biographical information provided in the bio files (UA 50.3). If you are unsure of the date, check off the "Approx date?" box. Decade: Always provide a decade, if known. You may provide more than one decade if this is appropriate (photo could represent 1938-1942= 1930s and 1940s). Topical subject: These have been pre-populated with "North Carolina State University -- People". If known, please add a subject to describe the particular class of person represented in the photo, e.g. "North Carolina State University -- Faculty", "Football players", "Librarians", and so on. EAC Name: These have been pre-populated with "North Carolina State University". Since this subject is applicable to all photographs in the collection, you may dispense with it, instead replacing it with a subject heading for the name of the individual pictured. In most cases you will need to add the name of the person to the EAC file. Check the LC authority file to see if there is already a name authority record for that person. If so, use the form of name presented there, even if you have access to additional information on birth and/or death dates. Enter the true dates in the "bdate" and "ddate" fields. Also, remember to add the LC control number from the 010 of the LCNAF record. If there are useful cross-references to other forms of names (initialisms, nicknames, etc.) add these at the bottom of the EAC window. If there is no LCNAF record, mark the heading as "local" in the "Source" field, or if you haven't yet checked LC, use "Provisional".
Description: This is where one should enter biographical information, taken from the verso of the photograph if provided, from the biographical files, or from biographical information posted on various campus and/or SCRC Websites. General notes: Use this for information on physical attributes of the piece ("Photograph torn") or for further information included on the back of the photo itself.
Descriptive metadata 2Class #/heading: This is the number preceding the seven digit number that you used to locate the record you are working on. It will be "UA023.24.011", "UA023.24.012", and so on. Original format: Generally, this will be "Black-and-white print (photograph)", which is the default value supplied for these. Watch out for negatives ("Black-and-white (negatives)") and color photos ("Chromagenic color print (photograph)"). Original format extent: Use this to record the dimensions of the actual photograph itself, excluding the margins (the white space between the photo and the edge of the paper backing). For fractions, place a hyphen between the whole measurement and the fraction, e.g. 3-1/2 x 4-3/4 inches.
