About the NC State University Scholarly Publications Repository


What began as the Faculty Publications Database in 1996 has become a listing of the published output of the entire North Carolina State University campus community over the last ten plus years, with citations culled from various bibliographic databases, the pages of the NC State Bulletin, departmental Websites, and correspondence with campus authors. The project was initiated by Orion Pozo, in the D.H. Hill Library's Collection Management Department, who established his file structure using Clarion's FileMaker Pro 3.0. Data gathering and massaging for the first year and a half was done largely by Loretta Mershon, a former cataloger working in Collection Management at the time. NCSU Authors Database interface in 2003 Responsibility for maintaining this process was transferred to the Cataloging Department early in 1998, which saw the Web as the best place to offer this tool for public consumption. Starting with static Web pages generated from an MSAccess report, the NCSU Authors Database was refreshed monthly from 1998 until 2000, when static pages were replaced by a ColdFusion search interface querying a weekly snapshot of the production database. This tool was first developed by Leon Lewis, rewritten by George Zeniou in 2001, and again by Dawn Pearce in 2004. In 2005, the Access database was moved over to the Libraries' Oracle instance, with a new PHP user interface. This work was done by Troy Simpson and Shirley Rodgers in the Systems (now IT) Department. In 2006, the re-named Faculty Publications Repository joined with the University's Electronic Theses & Dissertations, to form the basis for the NCSU Libraries' Institutional Repository. This was renamed the Scholarly Publications Repository in March 2007. Metadata and Cataloging continues to oversee the harvesting of citations and maintenance of the database content.

Please note that currently this file includes not only publications written, performed, compiled or edited by current faculty members, but also those from emeritus faculty, researchers, graduate and undergraduate students, librarians, and administrators. We have chosen to keep coverage broad, extending it to all members of the University community in almost all formats, including journal articles, editorials, published conference proceedings, reviews, music scores and sound recordings, Web and media presentations (except courseware), and books. Currently excluded are abstracts of conference presentations, broadcast media interviews, self-published and/or "vanity" publications, on-campus non-scholarly publications, and non-published writings, such as consultancy reports, internal documents, theses, courseware, and manuscripts. The original time period covered by this database was from 1997 to the present, but this has been expanded to earlier publications in cases where the author is still affiliated with North Carolina State University.

The structure of the database is detailed below. There are presently several relational files being used to store the data and create any needed reports. These include:

  • Citation table: Full bibliographical descriptions for each book, article, Web document, patent, etc.
  • Author table: Names, departmental affiliations, and status information (faculty member, researcher, doctoral/masters/baccalaureate student)
  • Agency table: Department, address, program, college and research program name
  • Journal table: Listing of cited journal titles, with TRLN location and call numbers
  • Source table: Listing the various sources from which the citations are generated
  • Join tables: Tables which relate multiple authors, departments, etc. to a single citation
